Win-Back Drafts

When a subscription is set to cancel, drafts a short "what went wrong?" note and leaves it in the sender's Gmail Drafts. Never sends.

One of the five in Customer Comms. They share one customer list, and none of them sends.

Sorry we dropped the ball. Would you tell us what went wrong?

A customer sets their subscription to cancel and, most of the time, nobody writes to them. The few who get a short, honest note often reply with the one thing that would have kept them. This watches Stripe for subscriptions set to cancel, writes that note from the one person on the team who sends them, and leaves it in their Gmail Drafts. A person reads it and sends it.

What it does

  • Finds every subscription set to cancel at the end of its period, on request or on a verified schedule a few times a day.
  • Skips the team’s own accounts, anyone a teammate decided not to write to, and anyone the team already wrote to about leaving.
  • Writes one short note: sorry, thank you, would you tell us what didn’t work. No offer, no discount, no link.
  • Adds one line of advice on using your product, when the team has connected a place that shows how the customer uses it.
  • Leaves the note in the sender’s Gmail Drafts. It never sends.
  • Marks the customer’s row on the team’s customer list: still paying until the end date, and owed this note.

The reveal

A subscription is set to cancel at nine. By ten there is a draft in your inbox, addressed by first name, four lines long. You send it. The next morning there is a reply: “Honestly, I never got the calendar part to work.” Now you know.

Configuration

  • Where cancellations show up: Stripe, read with the account you connect.
  • Who sends the note: one person on the team, from their own account.
  • The note: the four lines, as the team wants them. The default is the one that gets replies.
  • Where you see usage: optional. A place that shows how a customer uses your product, for the one line of advice.
  • How often: when you ask, or three times a day on weekdays if an available scheduler can run the work and you approve it.

What it doesn’t do

  • It doesn’t send. Every note waits in Drafts.
  • It doesn’t offer anything. No discount, no extension, no call.
  • It doesn’t change anything in Stripe. It only reads.
  • It doesn’t write twice. One note per customer, ever.

Triggers

Runs when you ask (“who is cancelling”, “draft the leaving notes”). Scheduled checks need a verified scheduler and your approval; otherwise it runs a bounded check now and saves where it got to.
